Hill Staytion is a company that provides affordable luxury rental villas in Panchgani, Mahabaleshwar, and Lonavala for their guests, mainly for residential purposes, staycation purposes, and recreation purposes, under the brand name "Hill Staytion." The stated Terms and Conditions are applicable to all guests or customers who make bookings at any of the properties through our website, our mobile application, third-party websites, third-party applications, any travel agencies with whom Hill Staytion has partnered, third parties, advertisements, referrals, etc. (collectively, “Booking Channels”).

 We recommend all our revered guests read and understand all the Terms and Conditions stated on our website before making a booking through any of the booking channels. These Terms and Conditions shall be applicable to guests making a booking through any of the booking channels. If, by any chance, you are not comfortable with any of these Terms and Conditions, then please do not use our website or any other booking channels to make any bookings for any of Hill Staytion’s properties. These Terms and Conditions may change over time without prior notice to any of our guests.

 Hill Staytion reserves the right to revise its Terms and Conditions, as well as any other information contained on this website and on any booking channel. If revisions are made, then Hill Staytion’s restated Terms and Conditions shall be effective immediately after their release. Hill Staytion can also make improvements or changes in the services as provided on the website and booking channels at any time without notice. Therefore, it is advised that all our guests carefully read the latest Terms and Conditions to regularly check for any amendments or updates. If the changes are not agreeable to you, you must stop using the website. Your continuous use of this website will imply your acceptance of the changed terms.

 Except where otherwise stated, these below-stated Terms and Conditions take over all previous representations, understandings, or agreements. This will still apply even if it conflicts with any other terms of any order or service from Hill Staytion. For the purpose of online as well as offline bookings made through our platform, the terms used in these Terms and Conditions have the following meaning:

 (a) “Property/Properties” means and includes villas listed on our website and all booking channels for booking.

 (b) “Guest/Guests” means any individuals, companies, or other entities who express their interest in booking any of Hill Staytion's properties through our website or any booking channels.

 (c) “Booking” means a reservation made by any guest in respect of any of the properties for the purpose of staying.

 (d) "Check-In" is the scheduled date and time on or before which the guests are required to comply with all the check-in formalities as required by Hill Staytion. Only after the completion of such formalities shall the guest be entitled to start using the property booked by them.

 (e) "Check-Out” is the scheduled date and time on which the guest will have to vacate the concerned property after completion of all the check-out formalities as required by Hill Staytion.

 (f) “Booking Period” is the period between which the scheduled check-in starts and the scheduled check-out ends.

 (g) “Booking Amount” will always remain the total amount payable, including taxes as applicable, by the guest to Hill Staytion for confirmation of their booking through a registered mode of payment.

 (h) “Booking Confirmation” means the email or any communication channel sent by Hill Staytion to the guests only after the receipt of the advance amount (defined below). The email or communication channel shall also comprise all the details of the booking and the Terms and Conditions applicable to the booking. These details include the booking name, name and total number of guests, check-in and check-out details, name of the property rented, number of rooms rented at the property, the total booking amount to be paid, the security deposit amount to be paid, and specified due dates by which they are required to be paid or deposited. Hill Staytion shall not be held responsible for serving any booking unless the entire booking amount is paid by the guest or guests to Hill Staytion through the registered mode of payment. Even though the booking confirmation or email has been sent to the guest, paying the full amount before check-in is a compulsion. The booking confirmation, along with proof of the entire payment, shall be required to be produced by guests at the time of check-in.

 (i) "Advance" is the amount that the guest or guests need to deposit to Hill Staytion for confirmation of the booking with respect to the property or properties booked. The advance amount is subject to the cancellation property of the particular property or properties as stated herein below.

 (j) "Security Deposit" is the amount that the guest or guests need to deposit to Hill Staytion on every booking, depending upon the property before check-in. The security deposit varies based on the property and the size of the guest group. The security deposit shall be utilized by Hill Staytion for any damages caused by the guest's or guests' damage to the property and/or items or furniture, and/or for the recovery of any other charges levied by Hill Staytion.

 (k) “Refund of Security Deposit” The security deposit will be refunded at check-out after all the necessary supervision of the property or properties booked is made.The security deposit will be refunded provided the number of guests does not increase, no damages are done to the property, and check-out time is adhered to. If any of the following conditions are not followed, Hill Staytion holds the right to deduct the necessary amount from the security deposit. The remaining security deposit after deductions will be refunded. We do not accept cash onsite for any reason.

 (k) “Peak Days” include long weekends, national holidays, and various festivals.

(l) “Booking Policy”

Check-In: Check-in time is allowed after 2:00 PM on the date of arrival. Early check-in is subject to availability and may incur additional charges.
Check-Out: Check-out time is before 10:00 AM on the day of check-out. Late check-out requests are subject to availability and may incur additional charges. Failure to check out by the designated time may result in an extra night's charge.
Booking confirmation will only be given after Hill Staytion receives the entire booking amount, including taxes (mentioned above under the “Booking Amount” Clause) before check-in.
  • If any other guest other than the accounted guests joins at the time of booking, extra charges will be applicable upon arrival.
  • All guests must bring along and share their verified identity proofs (IDs). These proofs will be required at the time of booking as well as upon arrival. We accept only Aadhar cards, driving licenses, and passports for verification purposes. The required documents should be submitted 72 hours before check-in for verification.
  • All foreign guests arriving at Hill Staytion’s property or properties should provide their verified and legitimate passport and visa details prior to their stay.
  • Any damage to the property caused by the guest will be charged as per the actual cost of repair or replacement via the security deposit (as mentioned above), which is refundable post-checkout. To avoid inconvenience, we will not be accepting cash onsite for any reason henceforth.
  • In case of any delays or other grievance redressal, guests can reach out to [email protected] for assistance. Our customer support and hospitality teams would be glad to cater to your queries and concerns.

Please Note: The “Security Deposit” is subject to change depending upon the number of nights and the group size. Please check with your holiday advisor at the time of booking.

(l) “Cancellation Policies” are the set of rules applicable to all our guests across every property of Hill Staytion who tend to cancel the booking/bookings made:

  • For cancellation requests made more than 30 days before the check-in date, 80% of the booking amount will be refunded.
  • For cancellation requests made between 30 and 15 days before the check-in date, 50% of the booking amount will be refunded.
  • No refund will be provided for cancellation requests made within 15 days of the check-in date.
  • Refunds will be provided only for bookings where the complete amount has been paid. No refund will be provided for partial payments.
  • Credit may be offered under certain circumstances. Please read our complete Terms and Conditions right from the starting for complete awareness.

(m) “House Rules” are the set of rules applicable to all our guests across every property of Hill Staytion:

  • Guests must present valid ID proofs at the time of booking and upon arrival, as stated above.
  • Our fully equipped kitchen is available for use by guests. However, for this, extra charges are applicable depending on the intensity of usage.
  • We offer services like Breakfast Basket, Bonfire, Barbeque System with additional charges for each.
  • In case of any damage caused to Hill Staytion’s property or properties by guest/guests, Hill Staytion holds the sole right to charge the complete actual cost of repair or replacement.
  • Any illegal activity, including but not limited to prostitution and the use of narcotics, is strictly not permitted. Any commercial activity is also strictly not permitted. Management reserves the right to report any such activities to local authorities.
  • Consumption of alcohol is permitted only within limits. Smoking within the villa or rooms is prohibited.
  • Carrying or consuming drugs or narcotics and carrying firearms or weapons on property is strictly prohibited. The management reserves the right to report such activities to the local judicial authorities.
  • Guests are requested to take care of all their personal belongings, as the management will not be held responsible for any loss, theft, or damage.
  • WiFi is subject to network availability at any given time.
  • Mobile networks such as Jio, Airtel, and Vodafone Idea work fairly well here.
  • Early check-in and late check-out depend on availability and can be charged extra for the same.
  • First-day lunch is not served. Any specific demand for other food menus needs to be discussed beforehand with the chef.
  • Any kitchen usage by the guest is chargeable.
  • Hill Staytion provides the availability of a cook or caretaker (or both) from 9 a.m. until 10 p.m., which might be subject to additional charges.
  • Loud music is not permitted beyond 10 P.M. and in outdoor areas. Guests are requested to move their parties indoors to avoid disturbing our neighbors.
  • No crackers or colors are permitted in this home, as they could possibly damage the property or properties booked by the guests.
  • Inappropriate behavior or violation of any of the above “House Rules” will lead to a polite refusal to accept a booking. If guests have already checked in, management reserves the right to ask guests to leave.

(n) “Pool Rules”

  • Guests may use the pool from 8 A.M. to 7 P.M. Pool access is strictly prohibited beyond 7 P.M.
  • Food and drinks are not allowed in and around the pool area.
  • It is mandatory to wear appropriate swimming attire and shower before entering the pool.
  • Children must be supervised while in or around the pool at all times, as there is no lifeguard on site.
  • Please handle your digital devices, such as laptops and mobile phones, with utmost care, especially around the pool area, as they are prone to loss or damage. Hill Staytion shall not be held responsible for any such losses.

(o) Environmental Uncertainties and Compliance

  • During monsoons, the roads to Hill Staytion villa/villas might become steep, muddy, and risky to navigate through. We recommend our guests drive consciously and avoid overspeeding during the rainy season.
  • There are chances of experiencing electricity breakdowns due to various environmental as well as other reasons. Hill Staytion is not to be held responsible for any power breakdowns. We offer inverter backup of up to 8–10 hours, which is subject to change as per property.
  • It is recommended to keep the doors and windows closed in the evening to avoid mosquitoes and insects coming inside.
  • All guests are advised to consciously switch off the lights, fans, and other electrical appliances when not in use.
